How to integrate Swikly with Beds24?

1. Connect your Swikly account to Beds24


Open your Beds24 account in one tab, and your Swikly account in a second tab so that you can easily switch between the two platforms.

 

  • On Beds24, go to "Settings" at the top left (The blue wheel)



 

  • Click on "APIs & Integrations"


  • Click on "API"



  • Click on "Generate invite code"


 

  • The following window opens:

 

 

  • Select all the checkboxes


  • Check the box « Allow linked properties »


  • Click on "Generate Invite Code"


  • Copy the invite code:

  • Back on your Swikly account, click on "Apps and Integrations" in the menu on the left


  • Click on "Beds24"


  • Paste the code into the "Invitation Code" field



 

 

 

 

 

 


  • Back on your Beds24 account, click again on "Settings" (The blue wheel at the top left of your screen)


  • Click on "Account"


  • Copy the « Account number (Owner id) » :

  • Go back to your Swikly account


  • Paste the Account Number into the "Account Number" field:



 

 

 

 

 



  • Click on "Confirm"


Your Swikly account is now connected to your Beds24 account!

 

 


2. Set up security deposit amounts in Swikly


  • After connecting Beds24 to Swikly, the list of properties appears below:


Enter the following information : 

  • The default Swikly account
  • The type of request
  • The default security deposit amount


These fields mus be completed for Swikly links to function properly.


These security deposit amounts are only considered if no deposit amount is entered in Smily. The amounts defined in your PMS are given priority.





3. Set up security deposit amounts in Beds24


Security deposit amounts for each property cannot be set directly in Beds24; they must be configured through your Swikly account.  Make sure to enter these amounts in Swikly to ensure the links work properly.




4. Configure the security deposit request email


After setting up your security deposit amounts, it is time to move on to the configuration of the email template that will include the link directing your customer to the security deposit form.


  • In your Beds24 account, click on 'Guest Management' in the left-hand menu


  • Click on "Auto Actions"

  • Click on "Create New Action"


  • Click on "Edit" to the right of the created Auto Action

You now need to configure the email settings for sending security deposit requests. Any fields for which no instructions are provided can be left as they are.


  • Under "Trigger Action", select "Auto"


  • Name Your Auto Action

 

  • Choose which properties the action should trigger for


  • Choose when the action should be triggered

  • Choose the "Time Window" (period during which the Auto Action can be triggered): Select "365 days" if your accommodations are available all year round


  • Select the booking channels that should trigger this action

  • Choose for which booking status the action should be triggered, we recommend “All not cancelled”

  • Click on "Save"


Now you need to configure the template of the security deposit request email. 


  • Click on the "Messaging" tab next to "Trigger"

  • In "Send message", select "Booking email/API"


  • In "Email reply to", enter an email that the traveler can reply to (optional)


  • In "Send using", select the option of your choice:
    1. "Default" -> All your properties
    2. "Property account" -> All properties of a specific account
    3. Property Name -> For this property only


  • In "Subject", write the subject line of your email. For example: IMPORTANT – Complete your booking by making your security deposit


  • In the "Plain text" space, write the content of your email 


  • Click on "Save"

 

Delivery delay:

We recommend that you send the request 10 to 7 days before the guest's arrival

 

The body of the email

Make sure to integrate the Swikly link (for example: In order to secure your deposit, please click here: [SWIKLY LINK]).


You will find this link in the "Applications & Integrations" tab of your Swikly account on the Beds24 connection page.




5. Configure the reminder email (optional)


You can schedule a reminder email for customers who have not completed their security deposit after the initial request.


  • Click on the "Edit" button on the Auto Action to request a security deposit


  • At the bottom click on "Save as copy" 


  • In the list of your Auto Actions click on the "Edit" button of the newly created Auto Action

  • Rename the Auto Action


Leave all the fields set up as you did in the previous step, but make sure to modify:


  • In 'Trigger Time,' adjust the sending date (we recommend scheduling the reminder about 3 days before the customer's arrival).


  • In “Exclude Booking Info Code” add “Swikly deposit” to ensure a reminder is sent only if the booking does not already have a secured deposit.


  • Click on "Save"


 

6. How do I know if the security deposit has been secured?


The status of the security deposit can be viewed from Beds24 or from the Swikly dashboard


In Beds24:


  • Click on "Bookings"


  • Open the relevant booking


  • Click on "Charges & Payments"


For the security deposit, refer to the line entitled "Swikly deposit", and for payment, to the line called "Swikly payment".
