How to Integrate Swikly with Smoobu?



1. Connect your Swikly account to Smoobu

1. Connect your Swikly account to Smoobu


Open Smoobu in one tab of your browser and Swikly in another so you can switch easily between the two platforms.

 

  • From your Smoobu account, select your profile in the upper right corner


  • Copy your User 


 

  • From your Swikly account, click on "Applications and Integrations" in the left-hand menu.


  • Search for Smoobu and click on the "Connect" button 

 

 

 

  • Past your Smoobu UserID on the "Smoobu account ID" line.



 


 

 

  • Back on Smoobu, click on "Marketplace"




 



  • Enter "Swikly" in the search bar open the application and click on the "Connect" button 



 

  • Copy the API key


  • Back on Swikly, paste the API key in the field "Smoobu API key".


  • Click on the "Validate" button


 


 

Your Swikly account is now connected to your Smoobu account!


 

2. Set up security deposit amounts in Swikly

 

  • After connecting Smoobu to Swikly, the list of properties appears below:


Select: 


  • The default Swikly account
  • Type of request
  • Default security deposit amount

 

These fields must be filled in for Swikly links to work properly.

These security deposit amounts are only taken into account if no deposit amount has been entered in Smoobu. The amounts defined in your PMS are given priority.


3. Set up security deposit amounts in Smoobu


If your security deposit amounts have already been set up in Smoobu, you can proceed to the next step.


You'll need to configure your security deposit amounts for each property in Smoobu.


Click on Settings in the left-hand menu:


  • Click on "Configuration", then "Properties"


  • Click on Edit to edit the property configuration

  • Add an amount to the Deposit field


  • Click on “Save”

  • Repeat the process for all your properties


4. Configure the security deposit request email

Once you've defined your security deposit amounts, it's time to configure the email template that will include the link directing your customer to the deposit form.
 

  • In Smoobu, click on "Experience"


  • Click on "Communications"


  • Click on “Create”


 

 



  • Click on "Starting from scratch".


Create an email to request the deposit via Swikly, specifying the delivery time, sending conditions, reservation channels, etc:

  • Choose the subject of the message


  • Write the content of your email, making sure to include the Swikly link (for example: To deposit your deposit, please click here : [SWIKLY LINK]. You'll find this link in the "Applications & Integrations" tab of your Swikly account.

  • Set up the ideal time to send the email. We recommend to send the first email 7 to 10 days before the guest arrival


  • Define a sending condition based on reservation payment: the e-mail should only be sent if the reservation has not been paid in full.


  • Add a sending condition so that the email is triggered if the reservation is made after the first deposit request email.


  • Choose for which properties the email should be sent


  • Select the booking channel for which the email should be sent 


  • Choose who should receive the request message


  • Add an invoice to the request if applicable


5. Configure the reminder email (optional)


It is possible to schedule a reminder email for your customers who have not secured their deposit after your first request:


  • Duplicate the email created previously


  • Adjust the email content to match a reminder message


  • Add the "Payment collection reminder" condition


 

When checking this box, the email will be sent only if the deposit has not yet been secured

By checking this box, the email will only be sent if the deposit has not yet been secured.



6. How do I know if the security deposit has been secured?*


To check that your emails have been sent, click on the Messages tab of your Smoobu account, then on Outbox:



 




 

You can also check that emails are being sent from the reservation:



 


 

 

The history of sent emails is displayed:



 


 

 

You can check messages that are scheduled for automatic sending in the future:


From this view, you can directly remind the traveler if he has not secured his deposit and/or payment:


  • Select the deposit request email template


  • Click the "Send" button:

When the deposit is secured by the traveler, the "Deposit" field and the "Price" field in the "Bookings" tab will be updated with a green mark.
